* This is a temporary vacancy, work on a 6-month contract.
Job Summary: • Perform secretarial and administrative duties for BOM. Require some knowledge of company policies and procedures. • Work requires some analysis and use of initiative and independent judgment. May make contacts of a sensitive, complex, and sometimes confidential nature both inside and outside of company.
Responsibilities: • Perform secretarial and administrative duties for BOM. • Answer all the phone called by foreigners and connect to the right line. • Translate documents to and from Vietnamese and English as BOM’s requirement. • Arranges use of conference rooms and use of outside facilities. And serves as a contact to people inside and outside the company. • Setting up Live meeting/ conference call when required. • Attend the meeting and prepare the minutes of meeting when required. • Coordinates the schedules, making appointments and establishing agendas. • Control & arrange transportation for all employees and visitors. Manage taxi card for the departments. • Control official documents: Letter to outside; receive and distribute incoming letters, documents. • Contact local authorities for legal procedures and create good relationship with local Authority. • Handles all confidential material relevant to company operations. • Collaborates with various staffs and departments in preparing special projects. • Arranging meetings and travel for BOM. Maintaining records of files. • Manage overseas or domestic travel procedures for VN employees: passport, visa, air-ticket, travel insurance, hotel reservation, transportation and accommodation, etc. • Manage for visiting of expatriates: visa, booking hotel & immigration services, etc. Carry out work permit, residence card for foreigner. • Others: Perform special projects or assignments as BOM’s requirements
• Bachelor's degree in Business Administration / Linguistics / Secretarial Science. • 5 years of experience in administrative/executive secretarial positions in a corporate setting. • Excellent communication and interpersonal skills. • Knowledge of presentation and spreadsheet software. • Professional appearance and presentation. • Able to handle confidential information
